Rental Terms & Conditions

1. General Rental Conditions

  • Minimum renter age: 21 years

  • Minimum Driving Experience
    All renters must have held a driving license that meets the stated requirements for the vehicle (European class B or equivalent) for at least one (1) year. Your license will be checked at pick-up.

    Please note: if your license does not meet these requirements, check-in cannot proceed, and no refund will be issued.

  • Smoking: Strictly prohibited inside the vehicle

  • Children: Allowed

  • Pets: Not allowed

  • Festival use: Allowed

The renter agrees to comply with all terms and conditions stated herein for the entire duration of the rental period.

2. Booking, Payment, Cancellation & Security Deposit

Booking

  • Advance Booking: As a general rule, bookings should be made at least 3 days in advance. Short-notice bookings may be possible if scheduling allows.

    Minimum Rental Period: 3 days High Season, 2 days Low Season

    Short Stay Supplement & Long Travel Bonus: Travel length adjustments are automatically applied based on the length of the rental. Short term supplement 70€ until 6 days, Base price 7-9 days, Bonus level 50€ at 10 days, 100€ at 14 days and 200€ at 21 days. Note that only one adjustment applies at a time. 

Payment

  • A booking deposit of 25% of the total rental price is required at the time of booking.

    The remaining balance must be paid no later than 60 days before the start of the rental period.

    If the booking is made less than 60 days before the rental start date, the full rental amount must be paid immediately at the time of booking.

    Failure to complete payment by the due date may result in cancellation of the booking in accordance with the cancellation policy.

Cancellation Policy (Standard)

  • How to cancel: Please send all cancellation requests via email to ensure they are processed correctly.
  • More than 60 days before start: Free cancellation, full refund (minus transaction fees).
  • 45 to 60 days before start: 75% refund of the rental price (minus transaction fees).
  • 30 to 44 days before start: 50% refund of the rental price (minus transaction fees).
  • Less than 30 days before start: No refund available.
  • Technical Issues: Unused rental days are fully refunded if your journey ends early due to technical issues not caused by the renter.
  • Travel Insurance: We strongly recommend purchasing travel cancellation insurance to cover unforeseen events like illness.

Security Deposit

A separately paid security deposit of 500 EUR per booking is required.

The renter will receive a payment request by email about a week before the rental start date, containing a payment link for the security deposit. The security deposit must be paid before or at the start of the rental period.

The security deposit will be fully refunded immediately after the vehicle has been returned and its condition has been inspected, provided no damage or outstanding issues are identified at the time of return.

The renter remains fully responsible for any charges related to the rental period that may be imposed after the return of the vehicle, including but not limited to:

  • toll charges,

  • traffic fines or penalties,

  • congestion or road usage fees,

  • unpaid fees or charges issued by third parties.

Any such charges may be invoiced to the renter after the security deposit has been refunded, and the renter agrees to settle these costs upon request. (Please note that these charges have sometimes arrived half a year after the rental period or even later. Best and easiest is if you pay for example possible parking fees on the spot, or take them with you and show them to me, so we can agree on how to deal with them. And note as well, parking fees are expensive in Finland, 60-80€, so better to avoid them for good…)  

3. Pick-Up and Return (Check-In / Check-Out)

We aim to meet all guests in person at check-in to explain the vehicle and answer any questions. As we operate mostly as a one-person business, handover times may vary depending on how many vehicles are arriving or departing on a given day. 

  • Check-in time: 17:00 (normally between 15:00 and 17:00)

  • Check-out time: 11:00 (normally between 11:00 and 13:00)

  • Self check-in: We prefer handovers in person to explain everything and answer any questions. If needed, self check-in is possible; we provide thorough instructions in advance, including guidance on using the vehicle and helpful videos.

  • Self check-out: Self check-out is usually easy to arrange and has often been a popular alternative.

Vehicle condition and communication

  • The vehicle must be returned on the agreed time and in the agreed condition

  • The condition will be documented at pick-up and return using 8–10 photos, preferably shared in a WhatsApp group including both parties

  • The same WhatsApp group will be used for any issues during the trip and serves as the primary communication channel

  • If WhatsApp is not available, the owner and renter will agree on an appropriate alternative before the start of the rental

4. Cleaning Rules

  • Before return, the renter is obliged to take care of basic cleaning, including:

    • Emptying the refrigerator

    • Removing all trash

    • Emptying the toilet

    • cleaning and sweeping the van

    Failure to comply with these requirements results in an additional cleaning fee.

5. Vehicle Use & Driving Guidelines

Engine & Driving Instructions

  • Vehicle Handling

    Although the vehicle drives similarly to a standard passenger car, it is longer and heavier and requires careful handling. Renters are advised to take time to become familiar with the following:

    • Vehicle size and steering

    • Wider turning radius, especially for models with a longer wheelbase

    • Reversing using side mirrors

    • Curtains should be open while driving for optimal visibility

  • The engine produces high torque. Accelerating at very low RPM places significant stress on the gearbox. For safe operation, accelerate within the 2,000–3,500 RPM range.

    When driving downhill, especially in mountainous areas, the use of engine braking is strongly recommended. This reduces wear on the brake pads and discs and ensures that braking power is available when it is most needed.

Lights, Electrical System & Fuel

  • Headlights must be used at all times while driving in Finland and northern regions
  • Dashboard lights and high beams require the light switch to be on
  • Remember to switch lights off when parked to prevent battery discharge

6. Breakdowns, Damage & Accidents

  • The owner is available via phone or WhatsApp approximately between 09:00 and 18:00 to assist with any issues. The renter must contact the owner immediately in case of technical problems, damage, or accidents.

Roadside Assistance & Towing

Roadside assistance and towing are covered by insurance to:

  • The nearest available garage, or

  • A slightly further garage if the nearest one is unavailable

If the incident occurs late at night and the vehicle is in a safe location, it may be advisable to wait until the following morning.

Renter’s Obligation to Report Technical Issues

The renter must immediately contact the owner if any of the following occur during the rental period:

  • a technical malfunction or defect,

  • warning lights or error messages appear on the vehicle dashboard,

  • unusual noises, smells, or performance issues are observed,

  • any situation arises that may affect the safe operation of the vehicle.

The renter must not continue driving the vehicle if doing so could cause further damage or pose a safety risk, unless expressly instructed otherwise by the owner or roadside assistance.

Failure to report such issues promptly, or continued use of the vehicle against instructions, may result in the renter being held responsible for any additional damage caused.

 7. Repairs & Liability

  • Repairs resulting from normal wear and proper use are covered by the owner
  • Any repair costs must be discussed and agreed in advance between the owner and the repair facility

8. Options if the Journey Cannot Continue

Rental Interruption Due to Breakdown or Technical Issue

If the rental cannot continue due to a breakdown, accident, or other unforeseen technical issue, the following options may apply:

  • Waiting for the vehicle to be repaired

  • Ending the rental and returning to Helsinki using economy or second-class public transport

In such cases, the renter will be refunded for the unused rental days, calculated from the day the rental ends until the originally agreed end date.

Please note: Refunds for unused rental days do not apply if the interruption or termination of the rental is caused by:

  • The renter’s negligence, misuse, or violation of these Rental Terms & Conditions

  • Reckless or unsafe driving

  • Driving under the influence of alcohol or drugs

  • Use of the vehicle in a manner contrary to applicable laws or agreed usage rules

Insurance coverage limits for accommodation and travel expenses (normally covering staying on site until the vehicle is repaired, or return to Helsinki/Sipoo) due to a breakdown or technical defect are:

  • Up to 500 EUR within Finland

  • Up to 1,000 EUR outside Finland

Depending on availability and the distance to Helsinki, a replacement vehicle may be offered for the remainder of the rental period.

We will always aim to find a fair and reasonable solution in these rare and stressful situations.

9. Personal Belongings

The renter is responsible for insuring personal belongings and luggage. These items are not covered by the vehicle insurance.

10. Insurance Coverage

  • Roadside assistance: Included

11. Governing Law & Jurisdiction

These Rental Terms & Conditions are governed by and construed in accordance with the laws of Finland.

12. Consumer Rights

Nothing in these terms affects the statutory rights of consumers under applicable Finnish or EU consumer protection laws.
